Valley Boys

Privacy Policy

Version v1-2026-11-01 · Effective November 1, 2026

Valley Boys (“Valley Boys,” “we,” “us,” or “our”) respects the privacy of the athletes, parents, guardians, coaches, and other individuals who use our services. This Privacy Policy explains how we collect, use, disclose, protect, retain, and otherwise process personal information through the Valley Boys website, player profiles, recruiting tools, training programs, messaging, booking, and related products and services (collectively, the “Platform”), at valleyboysbaseball.com.

This Privacy Policy should be read together with our Terms of Service and any additional privacy notices or consents presented when particular information is collected.

1. Information we collect

What we collect depends on how you use the Platform.

Account and contact information. Name, email address, telephone number, username and account credentials, parent or legal guardian information, and player-and-parent relationship information, and other information necessary to create or administer an account.

Player profile and baseball information. Information you provide concerning a player, including age and date of birth, positions, team or organization, school or graduating class, height, weight, or other physical characteristics you voluntarily provide, playing and training history, baseball goals, strengths and areas for development, statistics and performance information, recruiting information, and questionnaire responses.

Photos, film, files, and reports. Photographs, training videos, game footage, and documents you upload. These materials may contain a player’s image, voice, movements, physical characteristics, and athletic performance. We process them to provide the coaching, profile, and player-development functionality you requested. Submitting video or photos for your profile or for coaching is not permission for us to use that identifiable material in public advertising or marketing — promotional use requires a separate authorization.

Performance and testing information. Test results and training data you or our coaches record through the Platform, including hitting, pitching, and defense metrics, dated test histories, and development trends.

Recruiting activity. Your private target list, activity log entries, and follow preferences. Your activity log and target list are never shown on a public profile.

Coaching and lesson information. Coach assignments, booking information, lesson dates, communications made through the Platform, and transaction history.

Payment and transaction information. Information concerning purchases, programs, payments, and refunds. Payments are processed by Stripe or another third-party payment processor. We generally do not receive or store complete payment-card numbers when those numbers are collected directly by a payment processor; we may receive limited payment information such as payment status, card type, or a transaction identifier.

Device and usage information. When you use the Platform, we and our service providers may automatically collect IP address, device type, operating system, browser type, pages or features accessed, dates and times of access, referring URLs, approximate location derived from IP address, crash and diagnostic information, and cookies or similar technologies.

Communications. Communications you send to us and communications conducted through Platform features, including support requests, emails, messages between users and coaches, and safety reports.

2. How we use information

We use personal information to: create and administer accounts; provide the Platform; display public scout profiles as you configured them; provide recruiting tools, training programs, and coaching; facilitate bookings and payments; maintain player training histories; personalize Platform functionality; communicate with users; provide customer support; process transactions; verify parental or guardian authority where appropriate; protect minors and promote Platform safety; investigate fraud, abuse, or violations of our policies; maintain Platform security; debug and improve our technology; develop new features and services; comply with legal obligations; enforce our agreements; and protect the rights, safety, and property of Valley Boys, our users, and others.

We may also use aggregated or de-identified information for analytics, research, product development, benchmarking, and improvement of our services where permitted by law.

3. Public by design, private by default

How much of a player’s information is public is the player’s (and, for a minor, the parent’s or guardian’s) choice, within these platform rules:

When a player follows a profile, we send that follower only the update types and frequency they chose, and only for content the player made visible.

4. Children and minor athletes

Our services are used by minor athletes. Protecting information concerning minors is particularly important to us.

Children under 13. Where we knowingly collect personal information online from a child under 13 in circumstances subject to the Children’s Online Privacy Protection Act (“COPPA”), we obtain verifiable parental consent before collecting, using, or disclosing the child’s personal information, except where applicable law permits otherwise. A parent or legal guardian creates and controls the account for a child under 13. Depending on the features used, information concerning a child may include name, age or date of birth, contact information, photographs, video, voice, persistent identifiers, baseball information, performance information, questionnaire responses, and other information submitted through the Platform. We will not require a child to provide more personal information than is reasonably necessary to participate in the applicable activity.

Parental rights. Subject to applicable law, a verified parent or legal guardian may: review personal information we have collected online from the child; request deletion of the child’s personal information; refuse to permit further collection or use of the child’s personal information; and withdraw previously provided parental consent. Requests may be submitted to info@valleyboysbaseball.com. We may take reasonable steps to verify that the person making the request is the child’s parent or legal guardian. If withdrawal of consent or deletion makes it impossible for us to provide a particular service, the child may no longer be able to use that feature.

Parental consent process. For users under 13, we implement a parental-consent process appropriate to the information collected and how it will be used, which may include verification associated with a payment transaction, signed consent, identity verification, or another legally recognized method. The parent receives notice describing the relevant information practices before providing consent. Where applicable law requires separate consent for disclosure of a child’s personal information to third parties for purposes that are not integral to providing the service, we obtain such consent separately. General acceptance of our Terms of Service is not a substitute for verifiable parental consent where COPPA requires a separate parental-consent process.

For all players under 18, a parent or legal guardian must create or authorize the account, as described in our Terms of Service.

5. How we disclose information

We do not sell personal information. We do not sell identifiable player videos, player-development histories, or child personal information, and we do not build our business around selling player data. We may disclose personal information in the following circumstances.

Coaches and staff. When a player trains with us or interacts with a coach, we may provide the coach or relevant staff with information reasonably necessary to provide the requested coaching service, such as the player’s name, age, relevant baseball information, goals, video, lesson information, and other information the user chooses to provide.

Parents and guardians. Where an account concerns a minor, we may provide account and player information to the verified parent or legal guardian associated with the account, subject to applicable law.

Service providers. We disclose information to companies that help us operate the Platform, such as providers of cloud hosting (Cloudflare), payment processing (Stripe), email delivery (Brevo), analytics, customer support, cybersecurity, identity or age verification, video hosting, and software development. We expect service providers to use information only for authorized purposes and to maintain appropriate privacy and security protections.

Legal and safety purposes. We may disclose information when reasonably necessary to comply with applicable law or valid legal process; respond to lawful requests from governmental authorities; investigate suspected fraud or illegal activity; protect the safety of a child or other person; enforce our agreements; protect our legal rights; or prevent or address security threats.

Business transactions. If Valley Boys participates in a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, personal information may be disclosed as part of that transaction, subject to applicable law and appropriate protections.

6. We do not sell player data; advertising

We do not sell identifiable player or child data for money. If our practices materially change in the future, we will update this Privacy Policy and obtain consent or provide opt-out rights where required by applicable law. We may market our own products and services to users as permitted by law. We do not use personal information collected online from children under 13 for targeted advertising in violation of COPPA, and we will not disclose a child’s personal information to third parties for targeted advertising without any separate verifiable parental consent required by applicable law.

7. Aggregated, de-identified, and derived information

We may create aggregated or de-identified information from information processed through the Platform, such as general trends in player development, Platform usage, training activity, or performance, without identifying a particular player. We may use aggregated or de-identified information for research, analytics, product development, benchmarking, Platform improvement, business planning, and other lawful purposes. Where required by law, we will maintain de-identified information in de-identified form and will not attempt to re-identify it except as permitted by law. We may also create proprietary algorithms, models, scoring systems, analytical methods, and other technology based on patterns or learnings generated through operation of the Platform, provided that our use of personal information in developing or operating such systems complies with this Privacy Policy and applicable law.

8. Data retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including to provide the Platform, maintain legitimate business records, resolve disputes, enforce agreements, and satisfy legal obligations. Information concerning children under 13 will not be retained indefinitely merely because we have the technical ability to retain it; we maintain retention practices designed to delete children’s personal information when it is no longer reasonably necessary for the specific purpose for which it was collected, subject to lawful retention requirements. Different categories of information may have different retention periods. We may retain aggregated or de-identified information that no longer identifies an individual.

9. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, destruction, loss, alteration, or disclosure, which may include access controls, authentication measures, password hashing, encryption in transit, secure hosting, restricted administrative access, security monitoring, vendor-management practices, and incident-response procedures. No internet service or information-storage system can be guaranteed to be completely secure. Protect your password and notify us promptly at info@valleyboysbaseball.com if you suspect unauthorized account access.

10. Data breaches

If we experience a security incident involving personal information, we will investigate and respond to the incident and provide notifications to affected individuals, parents, governmental authorities, or others when required by applicable law.

11. Your privacy choices and rights

Depending on where you live and applicable law, you may have rights concerning your personal information, including rights to: know or access information we maintain about you; obtain information concerning how we use or disclose your information; correct inaccurate information; request deletion; withdraw certain consents; opt out of certain uses or disclosures; limit certain uses of sensitive personal information; obtain a portable copy of certain information; and appeal certain privacy-request decisions. We will not unlawfully discriminate against an individual for exercising applicable privacy rights. To submit a privacy request, contact info@valleyboysbaseball.com. We may verify your identity before completing a request. Where the request concerns a minor, we may also verify parental or guardian authority.

12. California privacy rights

California residents may have additional rights under the California Consumer Privacy Act, as amended (“CCPA”), if and when we are subject to the applicable provisions of that law. These rights may include rights to know, delete, correct, opt out of the sale or sharing of personal information, and limit certain uses and disclosures of sensitive personal information. We will provide any additional California-specific notices or mechanisms required if and when applicable to our operations. We do not knowingly sell or share the personal information of consumers under 16 in a manner requiring affirmative authorization under California law without obtaining the required authorization.

13. Cookies and similar technologies

We may use cookies, local storage, and similar technologies to operate the Platform, maintain sessions, remember preferences, authenticate users, protect security, understand Platform usage, diagnose technical issues, and improve our services. Where required by applicable law, we will provide additional notice or choice concerning non-essential tracking technologies. We do not run third-party advertising trackers on player profiles.

14. Third-party services

The Platform may contain links to or integrations with third-party websites, applications, equipment, or services — including links a player adds to their own profile, such as a Hudl or GameChanger page. We do not control the independent privacy practices of third parties; review the privacy policies of third-party services you choose to use. Where we engage a third party to process personal information on our behalf, we take reasonable steps appropriate to the nature of the information and relationship to require appropriate handling of that information.

15. International users

The Platform is currently designed primarily for users in the United States. Users accessing the Platform from outside the United States understand that information may be processed in the United States, subject to applicable law. If we expand our services to other jurisdictions, additional privacy terms or rights may apply.

16. Email, text, and marketing communications

We may send transactional communications concerning accounts, lessons, programs, payments, security, and Platform operation. We may send promotional emails where permitted by law; you may unsubscribe from promotional emails through the unsubscribe mechanism included in those communications. We obtain consent for marketing text messages or other communications where separate consent is required by applicable law. Opting out of marketing communications does not prevent us from sending necessary transactional or service-related communications.

17. Changes to this Privacy Policy

We may update this Privacy Policy as our services, technologies, or legal obligations change. When we make material changes, we will update the “Last Updated” date and provide additional notice or obtain consent where required by applicable law. We will not materially expand the use of previously collected children’s personal information in a manner requiring new parental consent without obtaining such consent.

Child privacy notice for parents. If your child is under 13 and will use features of the Platform that collect personal information online from the child, we will provide you with a direct notice describing: the information we propose to collect; how we propose to use that information; whether and why the information will be disclosed to coaches, service providers, or other third parties; how you can provide verifiable parental consent; how you may review or request deletion of your child’s information; and how you may withdraw consent and prevent further collection or use. The general acceptance of our Terms of Service is not a substitute for verifiable parental consent where COPPA requires a separate parental-consent process.
